The key to successful marketing materials management is easy to use and deploy ordering systems, dynamic stock control and real-time reporting. All of which form the core of the e-commerce systems developed by FastAnt that are used on a day-to-day basis in over 40 companies in the UK.
eFulfil - The ultimate electronic brochure fulfilment service
eFulfil is the unique online brochure request and fulfilment service developed by FastAnt for integration within your own website.
Traditionally, companies who have a website presence with a brochure request feature often process these web requests themselves using various members of staff. These requests are then processed whenever the team has the spare time often transferring the address information from a series of emails and copying this data into a spreadsheet for a later mail-merge or similar process.
FastAnt’s eFulfil system completely takes this time consuming and laborious task away from your staff allowing them to concentrate upon their primary job functions.
The eFulfil system not only facilitates the selection of brochures by the public from your site, it also provides you with an on-line database of requests, prospect data and statistical reports identifying the popularity of your brochures and the times customers are using your site.
Accurate address information is captured using a Post Code lookup facility that is automatically updated using the Royal Mail PAF (Postcode Address File). We also automatically obtain the ordinance survey grid reference location of customers requesting brochures and can triangulate their location to your nearest branch/shop or salesman’s trade territory providing you with geographical location data. The nearest branch details can then be included upon the fulfilment letter along with location maps and alternative letter signatures.
The eFulfil system is fully content managed which means that you can add or suspend brochures yourself using the online administrator login. The administrator login also allows you to add new thumbnail images and PDF downloads of brochures, you can also change the sequence in which the brochures appear on the screen and define the maximum number of brochures that can be ordered. Default or linked documents can also be added which is ideal for ensuring that a separate price list is always supplied with an associated brochure selected online.
Once the brochure request is processed, FastAnt’s fulfilment team will extract the data from the online database and flag it as exported along with the date and time of the export. Brochures can then be fulfilled on a weekly, daily or hourly basis depending upon your requirements. The FastAnt team will laser your letter content onto your letter headed paper and insert the requested brochures into a suitable envelope and then mail the completed pack out to your customer.
All of the brochure request data obtained by the eFulfil system is stored on a secure on-line database which you may access at anytime using a standard web-browser. The in-built nearest branch/sales territory feature provides your branches or sales team with a prospecting list of customers who have requested a brochure in your territory area. This data can be exported from the system in Excel format or converted into a prospect record using the optional integrated on-line CRM (Customer Relationship Management) system.
FastAnt have successfully integrate the eFulfil system with SAP CRM, Goldmine, Navision and Sage.
Other FastAnt Systems
The FastAnt DAM system provides your marketing stakeholders with a 24/7 repository of official assets that can be used for brochure artwork, website design, advertisements, video, etc. The DAM system provides a self-sign on ability allowing them to create an account and request access to the assets. Once a new account is created an email is sent to your internal system administrator, who may then adjust the access level of the user to view the assets on the system.
Viewing assets is simplicity itself; each asset has a code number, description and a series of meta-tags which assist the search engine to locate the most appropriate asset from a basic keyword search entry. Assets are also grouped into an unlimited number of asset groups (defined by the administrator). Assets are presented on screen as a thumbnail image along with the image size, dimension, type (CMYK, RBG), date added and dpi.
Assets can then be downloaded once they have been selected and added to a shopping basket. The basket will then “package” the assets into a zip file (to reduce the size) prior to download via the users browser or FTP client.
FastAnt's flexible online ordering system SAM (Sales Asset Manager) provides customers with a multi-branded ordering system allowing their stakeholders to order finished goods from stock or design items for print-on-demand. Unlimited access levels and groupings control what users can see and select controlling stock usage and reducing waste.
